Minutes from General Meeting October 9, 2018

Welcome and Introductions: Melissa Allen
Attendance taken on sign-in sheet.

Conversation with Todd Cutts, Executive Director of Olympia Downtown Alliance:
Todd has had this role 1.5 years, previously managed City of SeaTac, and had other
management experience out of state. Todd explained that Olympia Downtown Alliance is a
501(c)(3) comprised of downtown businesses; membership is optional. In addition to
financial support from members, they receive some contract money from the city and block
grant money.

The Downtown Alliance provides small business coaching, image-making for downtown,
puts on events like Third Thursday and Sip, Savor, and Stroll, and acts as the voice of the
downtown business community. The Downtown Alliance is also responsible for hiring two
Pacific Coast Security (PCS) officers in the downtown core who work 8 pm -12 am nightly.
The officers are unarmed and use a customer service approach. The Downtown Alliance
sends out a weekly newsletter by email and is active on Facebook.

The Downtown Alliance is currently revising their bylaws and working on a new strategic
plan. They are working on coming up with a vision and a position on the Artesian Commons
to communicate to the City since the City is deciding how to use that space in the future.
Melissa asked to be notified when the Downtown Alliance has volunteer opportunities.

BHNA Board Elections: Cindy Gaddis
Current and outgoing Board members shared the roles of each Board member, officer, and
committee head.

New Terms:
Melissa volunteered for a 2-year term as President and was voted in.
There were no volunteers or nominees for Secretary. While the position remains open,
other officers can cover duties. For example, Cindy will take minutes at tonight’s general
minutes and the next Board meeting. We will need help assembling the December 2018
newsletter.

Board Members at Large: Bob Peller, Angie Warner-Rein, Lorenzo “Mac” McKenzie, Mark
Crosson (absent), and Marj Shomshur (absent) are interested in continuing on the Board,
Angie as Chair of Block Watch and Marj as Communications Chair. All were voted in for
another year.
Debbie Ingram is interested in still coordinating newsletter delivery but not serving on
Board. She will also help plan the 2019 Block Party.
Two spots on Board remain open: the Secretary office and one Board member at large.

We discussed ideas to get more people to attend general meetings.

Treasurer’s Report: Jason Walker
BHNA has $2,944.28 in its account. We received $2,081.49 from the baristas at Bayview
Thriftway’s coffee stand. Storman’s chose us as the first neighborhood association to
receive it. Jason gave receipts to most neighbors who paid annual dues at the 2018 Block
Party. We collected about $250 at the Block Party.

Updates
Angie reported that Thurston County Food Project is going well. A new neighbor is helping
to collect green bags. Saturday, Oct. 13 is the next pick up date.

Angie reported on Block Watch. She would love a volunteer to help coordinate Block Watch
(this would not be a Board position, just helping out). She passed out an updated contact
list for Block Watch members. The list has a phone tree and instructions for what to do if
there’s a reason to activate the phone tree.

Cindy raised the issue of the City’s matching grant since our bylaws now require being
voted on by general membership at least one general meeting prior to the grant submission
deadline. The City puts a dollar value on volunteer time. The City matches the amount of volunteer
time with money.

Proposals:
  •  Assembling and purchasing emergency supplies that could be used by the neighborhood
  • Tents and plastic bins with basic first aid supplies
  • More signage like centralized sign with our logo somewhere in our neighborhood.
Next Board meeting is Nov. 27, 2018, hosted by Cindy.
